Harvard University's Campus Services (CS) Unit (annual operating budget of $450M; real estate portfolio valued at
over $3.1B; 1,600+ employees) reports to the Vice President for Campus Services and provides outstanding delivery
of a wide variety of services to the Harvard Community. Campus Services is comprised of numerous departments
serving a broad constituency of internal and external customers with diverse lines of business and size (measured in
annual budget $), including
  • Energy, Facilities and Sustainable Building Services
  • University and Commercial Real Estate in Cambridge and Boston (including 2 Harvard-owned Hotels)
  • University Housing in Cambridge and Boston
  • Hospitality and Dining Services

The Accounting Assistant reports to a Campus Services Accounting Supervisor and is part of a team of Accounting
Assistants who collectively review and process transactions and support the operations within CS. He or she will:
  • Process transactions related to Payroll, Procurement, Accounts Payable, Accounts Receivable and /or General Accounting activity in systems that support CS core operations and/or non-consolidated entities so that financial information in the General Ledger, and its related sub ledgers is timely, accurate, and complete.
  • Performs accounting analysis; identifying and resolving reconciling items.
  • Provides customer service by answering customer billing and payment inquiries as well as issue resolution.
  • Gain understanding of key internal controls, policies and procedures related to transactions to monitor and enforce compliance.
  • Adhere to a calendar of accounting activities to ensure that all transactions are processed, approved, and posted by appropriate deadlines.
  • Develop knowledge and skills in the use of CS and University systems that support transactions and/or reports necessary to CS accounting operations
  • Support the production of CS reporting to a wide variety of customers, including those internal to CS or Harvard University as well as those external to Harvard University.
  • Develop knowledge of the Microsoft Office Suite including, but not limited to Microsoft Excel and Microsoft Word, to support CS accounting operations.
  • Document procedures related to job duties and suggest improvements to existing processes.
  • Serve as back up for critical activities of other CS Accounting Assistants
  • Participates on special projects
  • Related duties as assigned




Salary Grade: 053

Union: 55 - Hvd Union Cler & Tech Workers

  • Two to five years' experience in payroll, accounting, finance, or a related field.
  • A post graduate degree could be counted towards work experience.
  • Must have knowledge of internal controls and automated accounting systems.
  • Must exhibit excellent verbal and written communication as well as team interaction skills.
  • Strong attention to detail along with consistent exercise of discretion, independent judgment and initiative required.
  • Must demonstrate proficiency with MS Office and the ability to learn and utilize numerous accounting systems.
Preferred Requirements:
  • Bachelor's degree in Finance or Accounting
