The Workplace Experience Concierge is at the forefront of delivering a positive office experience as an extension of the facilitates team as a representative of the Experience team. In this role, you would provide experience services and support to the facility management team to ensure the successful competition of our clients' facility needs.
As part of a "front-of-house" team, the Workplace Experience Concierge is responsible for creating a supportive and comfortable atmosphere by maintaining the neat appearance of the reception/lobby area, conference rooms and other common areas, including requesting building and housekeeping services as needed.
The purpose of this position is to provide assistance to the facility management team to ensure the successful competition of client facility needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Responds to client inquiries and concerns. Ensures timely and quality service delivery to clients.
Follows up with clients to ensure customer satisfaction.
Displays a warm friendly, professional greeting to all those entering the property.
Creates work orders and assigns work orders to multiple technicians, subcontractors and vendors.
Communicates work orders to technicians and assists management in resolving problems.
Provides reports on open and closed work orders and checks status with the appropriate technician or vendor.
Responds promptly with accurate and thorough information according to the specific request.
Creates vendor files and checks accuracy on completed paperwork submitted by vendors.
Administrative support (preparation of meeting materials)
Supports the office including the facilities team with minor tasks such as managing supply inventory, kitchen/break room maintenance and/or stocking, coordinating vendors, resetting conference rooms and event spaces, retrieving and delivering items to the storage warehouse, new hire desk set-up, etc.
Serves as point-of-contact for the facilities team as representative of the Workplace Concierge team.
Assists with the inspections on the facility campus.
Uses pc and/or PDA for work order system, email and training.
Follows security and emergency procedures as defined for the property.
Responds to emergency situations in a calm, efficient manner.
Summons appropriate assistance and makes appropriate notifications in accordance with operating procedures.
Performs other duties as assigned. SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position.

EDUCATION and EXPERIENCE
HS Diploma or GED required. Bachelor's degree or professional hospitality accreditations preferred. Prior Customer Service experience required. A minimum of 0-1 year Front Desk, Concierge, customer service or other hospitality experience is preferred.
CERTIFICATES and/or LICENSES
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
Comfortable meeting and engaging with new people.
Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.
Ability to calculate simple figures such as percentages.
