Responds to all records requests in a timely manner to facilitate workflow and scheduling for department staff. Sorts and classifies information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical or numerical order. Adds new material to file records or creates new files as necessary. Finds and retrieves information from files in response to requests from authorized users. Keeps records of materials filed or removed using logbooks or computer. Uses appropriate technology to image and index documents for storage on imaging or document storage platform. Verifies quality and accuracy of scanned images. May coordinate imaging services provided by third party. Performs general file maintenance including moving items to archives per established guidelines or requirements. Maintains inventory onsite and offsite records in compliance with business requirements. Acts as lead on document management responsibilities pertaining to high-profile clients. Assists manager or takes lead in documenting and maintaining departmental procedures. May assists users of imaging or document storage platforms. Assists manager or takes lead in efforts to analyze and streamline processes related to document creating, use, storage and retrieval. Assists with systems upgrades. Performs other duties as assigned. SUPERVISORY RESPONSIBILITIESNo formal supervisory responsibilities in this position. EDUCATION and EXPERIENCEHigh school diploma or general education degree (GED) required. Minimum of 2 years file or records administration experience required. Formal training or education in business or records administration preferred. CERTIFICATES and/or LICENSESNone COMMUNICATION SKILLSAbility to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees. FINANCIAL KNOWLEDGERequires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages. REASONING ABILITYAbility to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills. OTHER SKILLS and ABILITIESBasic knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Familiar with a variety of file types such as TIFF, JPEG, PDF, MS Word and Excel. Ability to work in multiple software platforms and learn and retain technical software applications quickly. May need to be physically able to lift and move 30-40 boxes and operate a two-wheel dolly. SCOPE OF RESPONSIBILITYDecisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
