Plans and monitors work of employees to ensure adherence to quality standards, deadlines and procedures, correcting errors or problems. ESSENTIAL DUTIES AND RESPONSIBILITIESDevelops and implements procedures and systems that improve the records management function. Designs and prepares reports to monitor and evaluate performance of the work unit. Metrics include error rates, work volume, department and individual productivity and other relevant measures. Develops ad hoc reports as requested. Manages overall document library, client document mailboxes and other records resources. Provides training for staff related to workflow, processes, procedures and technology used to provide records administration services. Serves as a member of the transition team, managing incoming documents, uploading of records and other support services. Reports project status to clients and transition team. Manages records system user access by controlling user setup and changes and document uploads. Responds to escalated user support concerns. Researches hardware and software products related to workflow and document management; provides presentations to management staff with department recommendations. May oversee records preparation, imaging, storage and related services provided through a third party. Monitors performance, accuracy and productivity to ensure service meets contractual obligations. Performs other duties as assigned. SUPERVISORY RESPONSIBILITIESProvides formal supervision to individual employees within single functional or operational area. Recommends staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and EXPERIENCEHigh school diploma or general education degree (GED) required. Two-year degree with business concentration preferred. Minimum of 3 years file or records administration experience required with an additional 2 years being in a people management leadership role preferred. Formal training or education in business or records administration preferred. CERTIFICATES and/or LICENSESA certification in Records administration strongly preferred such as Records Management Certification, Certified Records Management, IGP COMMUNICATION SKILLSExcellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information. Ability to respond effectively to sensitive issues. FINANCIAL KNOWLEDGERequires advanced knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and commissions. Conducts advanced financial analysis. REASONING ABILITYAbility to comprehend, analyze, and interpret complex documents. Ability to solve problems involving several options in situations. Requires advanced analytical and quantitative skills. OTHER SKILLS and ABILITIESIntermediate to advanced knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Ability to work in multiple software platforms and learn and retain technical software applications quickly. Must work well under pressure with multiple deadlines, and demonstrate a proactive approach to routine and non-routine occurrences. May need to be physically able to lift and move 30-40 boxes and operate a two-wheel dolly. SCOPE OF RESPONSIBILITYDecisions made with thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines. Responsible for setting work unit and/or project deadlines. Errors in judgment may cause short-term impact to department.
