McLennan Property Management in Park Ridge is seeking to add an experienced Commercial Property Manager to its staff. McLennan is a full service property management company overseeing commercial, industrial and retail properties.
Applicant would be responsible for a portfolio of properties. Property responsibilities include: contracting for building maintenance, financial performance analysis, responding to tenant and client needs. Applicant should have excellent communication skills, ability to multi task, and work in teams and have attention to detail.
TO SERVICE AND MAINTAIN EXISTING PROPERTY MANAGEMENT ACCOUNTS FOR COMPANY INCOME AND PROFIT. TO IDENTIFY AND ASSIST IN THE ACQUISITION OF NEW ACCOUNTS AND ACCEPT THE ASSIGNMENT OF NEW ACCOUNTS TO THE MANAGER’S PORTFOLIO.
Assist clients in achieving their investment objectives through quality professional property management services. To provide these services through methods and procedures established by company policy and programs.
Make recommendations to improve the profit and productivity of the company.
Identify and assist in the development of new business opportunities for the company.
The manager is responsible for all actions that involve or influence the properties he/she manages and is directly accountable to the client, company manager and company at large.
To plan and organize the operation of each managed property to produce expected results.
To oversee and administer the collection of income (regular & delinquent) and the management of expenses so as to produce the maximum economical benefit to each property.
To administer the various leases as they relate to the given portfolio and to serve all necessary notices, legal notices, correspondence and other forms of communication to the tenant and client.
To periodically inspect each property (regular & unannounced) and record said visits in the building file according to the company’s Policy & Procedure Manual.
To carry a cell phone at all times (during regular work hours and afterhours) and to be available to coordinate extraordinary or emergency repairs as they arise and to be available to visit the property as circumstances dictate.
To keep clients and company manager advised of significant operational problems and deviations from the norm.
To develop written operating budgets as required by the client or the company manager.
To act as a liaison between client and attorney regarding all legal matters and attend court proceedings as needed.
Spot check new leases for accuracy and completeness.
Prepare and show vacancies for marketing and new tenant occupancy.
Periodically inspect vacancies during and throughout the vacancy period. Maintain control of keys to vacancies and arrange for transfer of utilities.
Initiate and expedite work orders and manage to completion.
Coordinate, order and supervise repairs and improvements that pertain to the manager’s portfolio and negotiate contracts when required. Obtain competitive bids for all work that exceeds the expenditure limits in the management agreement.
Assist in coverage of properties when other managers are out of the office for extended periods.
Be familiar with the responsibilities and spending limits of each Property Management Agreement.
Implement preventive maintenance policies and risk management assessments by property per client’s request or that of company manager.
Prepare, place and monitor advertisements for residential properties per each management or listing agreement, and be familiar with the market.
Make recommendations for rent increases, reductions or concessions for properties per each management or listing agreement, and seek approval from client prior to implementation.
Ensure compliance with Federal Wage and Hour Act, all state and local laws and ordinances including the Workmen’s Compensation Act.
Obtain Contractors’ Liability and Workmen’s’ Compensation certificates for each vendor and contractor hired and do not engage unless certificate(s) are current and valid.
Meet with company manager as requested to discuss projects, rentals, vacancies, collections, budgets and any other problems or issues.
To resolve tenant problems and disputes to the best of the manager’s abilities and skills.
As required by each Management Agreement, annually review all property insurance coverage to determine if adequate coverage is provided at the most economical premium obtainable. Promptly report all insurance claims to insurance company and to the client.
Annually review all contractual services for each property managed.
Implement and monitor controls, policies, and procedures to conserve energy.
Prepare written management reports for any client who requests such communication.
Coordinate a security program and develop emergency procedures if deemed necessary by the client.
Promote positive community relations.
Assist the client and act as a liaison with the client’s tax attorney in the appeal of the real estate taxes.
Review each monthly financial report and be prepared to discuss same with client or company manager.
Be able to negotiate stairs, climb ladders, and generally navigate landscaped areas and properties (interior & exterior) that have been damaged by water, wind, fire or other casualties.
All management related phone calls, e-mail and written correspondence should receive a timely response. An emergency is considered a “high priority” and should be attended to immediately. All other matters should receive a response within 24 hours.
Experience with Appfolio a plus
3-5 Years commercial property management experience
Hold current Illinois Brokers License
Understanding and ability to interpret building financial data
Ability to create and administer budgets for various properties
Ability to be on call for building emergencies
Basic understanding of building mechanical systems
Strong interpersonal & communication skills
Pass Background and Credit Check

McLennan Company was established in 1912 by William C. McLennan, a young Scottish bricklayer who had recently immigrated to the Chicagoland area. The company started as a contracting business, and throughout the 1920’s and 1930’s constructed over 5,000 homes.
