As a Senior Property Administrator at Gladstone Management, you will apply your commercial property management administrative experience to support our Asset Management team by interacting with tenants, assisting with budgets and financial reports, reconciling A/R accounts, coding invoices and tracking certificates of insurance. Candidate must possess knowledge and experience of property administration and accounting with experience in preparing annual budgets and conducting reconciliations of property expense pools. Candidate must be able to interpret commercial leases and work with Tenants to resolve issues.
Strong organization and time management skills.
Experience in Microsoft office (above average Excel skills).
Knowledge of property insurance and taxes.
Yardi experience preferred.
Position Responsibilities and Goals
Responsible for all administrative duties of the Portfolio including but not limited to: tracking and ensuring timely payment of property taxes, lease compliance with COIs, rent collections, preparation and review of financial reporting, preparation of board materials and other ad hoc duties as assigned.
Assist Asset Managers with the development and tracking of operating, tenant improvement and capital budgets.
Prepare and review funding requests from third party property managers.
Work with accounting and third party property managers to upload financial data into Yardi and export to Argus.
Work with local municipalities and utility providers to ensure service is provided to the properties.
Perform occasional site visits and coordinate third-party inspections for third parties (e.g., insurance companies and lenders).
Respond to tenant requests, ensuring that administrative and building technical staff resolve problems promptly.
Represent and communicate clearly and accurately, in person, over the phone, and in writing the authority of the Asset Manager based on legal agreements in effect and Gladstone policies.
Initiate and execute day-to-day operational procedures.
Assist Asset Managers in the monthly ownership reporting (including variance reports, executive summaries, aging reports, etc.).
Miscellaneous duties or projects as assigned by the Asset Manager.
