THE HOW: We are constantly developing new projects while exceeding existing property management standards on existing sites. We own and manage successful Retail, Class-A Office, Light Industrial, and Historical buildings, while also developing cutting edge downtown living and working spaces, as well as suburban master planned communities. THE WHAT: Here is where you come in. In order to make all of this work, we need people that want to be in the thick of it all. The Assistant Property Manager is a member of the property management and building maintenance teams. This includes providing support concerning vendor management and contacts, acting as a liaison between our team and tenants, assist with financial reporting and AR/ AP. Additionally, you will be responsible for overseeing the work of service partners and coordinate the delivery services. The Assistant Property Manager must take pride in the long-term preservation of Norwood’s commercial properties and associated physical assets and properties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provide leadership and support for the administrative and operations team.
Write contracts with service partners and keep ongoing contacts up to date.
Coordinate monthly and annual service deliveries, oversee work of service partners, and conduct frequent service inspections.
Participate in weekly operational staff meeting and others as required.
Proactively stay involved in the community and real estate organizations.
Support the Property Manager by understanding the lease terms, obligations, and knowing terms for extension options.
Support the Property Manager by implementing a tenant visitation program and maintaining a close relationship with contacts.
Ability to ensure timely resolution of tenant requests.
Respond to and enter tenant requests received outside of tenant work order system.
Assist the Property Manager by monitoring the delinquency reports, pursing tenant collections, and documenting all the collection activities in the accounting system.
As needed you will be expected to assist with lease renewals.
Support tenant and capital improvement projects.
Building Maintenance, construction, and Security
Maintaining the appearance and condition of the property by hiring appropriate vendors which includes but is not limited to soliciting and reviewing bids, preparing contracts, documenting any legal or risk management, and reviewing contracts and insurance coverage.
Contribute to the managing of day-to-day maintenance, capital, and TI projects by preparing project schedules, monitoring activities, completing punch lists, and tracking the budget.
Conduct annual fire drills and other tenant ratings.
Review and approve invoices per the designated signing authority in the Authority Matrix, ensuring appropriate supporting documentation is included and charges are accurate and allocated correctly.
Assist in preparation of monthly management reports, budgeting, and forecasting.
Assist the Property Manager with the annual capital plan, operating budget, and reforecast.
MINIMUM JOB REQUIREMENTS: The Assistant Property Manager must ideally possess:
Education: A bachelor’s degree and preferably 2-5 years’ experience in property management, commercial real estate or related field.
Technology requirements: High proficiency in Excel and Publisher, proficiency in Microsoft Office 365 and Window 10, and working knowledge of Blue Beam and the Sage accounting platform. The use and operation of a smart phone is required. Knowledge and basic use of AutoCAD viewer software desirable, but not required. You will have an advantage if you have real estate software experience.
Licenses and Certifications: Possess reliable transportation to include a valid state driver’s license and proof of vehicle insurance which meet the state’s minimum coverage requirements.
The Assistant Property Manager must possess the ability to communicate in English clearly and concisely, both orally and in writing.
Establish and maintain effective working relationships with individuals and groups representing diverse backgrounds and professions.
Be service minded and committed to the company’s goals, objectives, and policies by being an excellent ambassador for the company.
