About the position
We’re looking for full-time Operations Manager who can help us create and maintain the facilities that support our high-tech graduate and professional programs. GIX is headquartered in an 88,000-square-foot, state-of-the-art facility in Bellevue’s Spring District, a growing center of business, retail and residential activity located eight miles from the UW campus. The Operations Manager independently manages all building services and resources to meet needs of our growing programs with flexibility and creativity.
This position is ideal for a process-oriented professional with a high degree of personal initiative who is looking to gain supervisory experience and grow in their project management skills. The position will fit anyone who enjoys helping others, exploring and using new productivity tools, and working as part of a team in a dynamic and collaborative work environment.?
Responsibilities include:
Building & Tenant Services (50%)
Serve as the primary administrative contact for all office and retail tenants and oversee related administrative functions. Implement processes to ensure continuous improvement of efficiency, quality of service, security, and general functioning and appearance of the facility. Manage service contracts, tenant services program, and relationships with real estate and management company.
Internal Communications & Management (30%):
Develop and maintain processes and tools that support tracking of fiscal transactions, processing of revenue, and effective internal communications.
Reception Desk Management (20%):
Oversee management of reception desk, lead efforts to create a welcoming, secure environment for building occupants and guests, and coordinate team participation in large events.
Requirements include:
•Bachelor's degree, preferably in social sciences or related field. •Two years of accumulated work experience. •Strong analytical skills, initiative, and problem-solving capability. •Strong written communication skills. •Collaborative, collegial approach, with strong interpersonal skills and ability to work both independently and as a team player in a diverse unit. •Highly accountable, attentive to detail and committed to accuracy, efficiency and timeliness. •Adaptable and flexible, able to independently prioritize and manage changes in workloads. •Interest and ability to learn new software, productivity tools, and plugins.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Desired:
•Familiarity with Teams, Zoho Forms, Docusign, Adobe Acrobat Professional, WordPress, CAAMS, Remote Desktop, SharePoint or similar tools, •Work experience at the University of Washington or another academic institution; knowledge of general accounting practices, fiscal procedures, and relevant UW policies and rules related to budget types and classes. •Skilled with Microsoft Office, Adobe Acrobat Professional, and SharePoint; able to apply them to complete and manage work. •Familiarity with WordPress and project management tools. •Operational creativity and interest in process improvement.
Working Environmental Conditions
• GIX is a high-profile program that regularly hosts high-profile individuals and donors. Professionalism, excellent oral communication skills, and ability to multitask are essential. • Work is performed in an office environment. The majority of time is spent sitting and using a computer, but work may require lifting, bending and transporting of items of up to 30 pounds. • Occasional work outside of business hours (9:00 a.m. – 5:00 p.m., M-F) to support events or facilities needs. • Occasional local travel for purchasing and pickups related to facility.
