Preparation for, and facilitation of Chief Development Officer Meetings.
- Review, schedule, and regularly assess to ensure proper prioritization and preparation for upcoming meetings.
- Ensure all meeting objectives are realistic, preparation is appropriate, and that the Chief Development Officer is well informed prior to meetings.
- Leverage the Chief Development Officer’s time effectively and appropriately in a meeting context.
Proactive identification of issues that could impact the successful execution of the Chief Development Officer’s commitments.
- This responsibility involves elevating those pertinent issues to the Chief Development Officer and framing/positioning ideas to resolve the problem and mitigate risk. This is among the most challenging aspects of the job and will require the Development Division Coordinator to focus on the underlying interest of the parties working with the Chief Development Officer, understand their intentions, and identify creative / alternate means of handling pressing issues. Key responsibilities involve helping the Chief Development Officer determine how best to allocate his time and interest to achieve the greatest impact.
Coordination/orchestration of projects or commitments.
- Working with the Chief Development Officer and their direct reports and administrative staff, the Development Division Coordinator will ensure accountability among stakeholders using an overarching project management platform throughout a project’s lifecycle and keep Chief Development Officer abreast of any misalignments or potential bottlenecks.
- Development Division Coordinator needs to understand the breadth of the projects within the Chief Development Officer’s purview.
- The Development Division Coordinator may, at times, take on tasks within certain projects. Tact, diplomacy, and persistence are essential qualities executing this dimension of the role.
Research for and Development of communications on behalf of the Chief Development Officer.
- Work in conjunction with Public Affairs and Marketing to assist in the development of communications, ranging from correspondence related to the Chief Development Officers various meetings, to numerous speaking engagements involving external audiences, as approved by the Chief Development Officer.
Support Senior Management team communications with the Chief Development Officer.
- The Development Division Coordinator will help facilitate decisions that the Senior Management team needs to receive feedback on from the Chief Development Officer. He/she will support the Senior Management team to raise critical issues with the Chief Development Officer and receive needed responses, guidance, and decisions.

- Understand, monitor and improve the Development Division procedures related to Schedule, budget and workflow

- Effective scheduling to maximize Chief Development Officer’s schedule by:
- Constantly reviewing and adjusting schedules as need arises
- Reviewing e-mails and other pertinent information and providing Chief Development Officer with appropriate information on a just in time basis prior to meetings
- Caputure talking points, agendas, and PowerPoints prior to meetings
- Work with administrative assistants to arrange web-based meetings, video conferences, and phone conferences, as needed
- Expert with Outlook, Web Based Meeting Platforms, video, and phone conferencing Organize and prepare for effective one on one meetings, team meetings, and leadership meetings
- Assist in Chief Development Officer’s adminstrative support to capture and record information in support of Talent Management process:
- Constantly providing Chief Development Officer with support so employee feedback is appropriately memorialized. Familiarity with Halogen is a plus
- Invoice Review: Ability to sort and analyze invoices and provide summary to executive
- Ability to attend meetings on complex subject matters in order to record action items and track progress
